How we collect, use, and protect your personal information when you engage with Via Privata.

Via Privata is operated by an independent luxury travel advisor affiliated with Fora Travel. This policy explains what personal data we collect across all touchpoints — including our website, enquiry forms, social media advertising, email, and WhatsApp — how we use it, who we share it with, and the rights you hold over your information. By submitting an enquiry or engaging with our communications, you agree to the practices described below.

1. Who We Are

Via Privata is an independent travel advisory service operated by a Fora Travel–affiliated advisor. For the purposes of applicable data protection law, the individual operating Via Privata is the data controller responsible for your personal information. All payment processing and financial transactions are handled solely by Fora Travel on their PCI-compliant platform — Via Privata never holds, views, or processes your payment card details.

2. Information We Collect

We collect personal data through the following channels:

Enquiry forms (website & landing pages)

Name, surname, email address, phone number, destination of interest, travel dates, group size, nightly budget, and any additional preferences or notes you choose to share.

Social media advertising (Meta / Instagram)

When you click an ad and visit our landing page, Meta may share anonymised signals (such as whether your device visited our site) to measure ad performance and enable retargeting. We may also receive lead data if you submit an enquiry through a platform-native lead form. We do not receive your social profile directly.

Email communications

When you exchange emails with us, we retain the content of those communications — including your name, email address, and any travel details you provide — to manage your enquiry and maintain a record of your requirements.

WhatsApp outreach

If you contact us via WhatsApp, or if we reach out to you via WhatsApp following an enquiry you submitted, we process your phone number and the content of your messages solely to respond to and manage your travel request.

Website & cookie data

We use analytics and advertising cookies to understand how visitors use our site, measure marketing performance, and serve relevant ads. This may include pages visited, time on site, device type, and browser. See Section 6 for more detail.

3. How We Use Your Information

Your personal information is used for the following purposes:

  • 01To respond to and manage your travel enquiry, including curating hotel options and itineraries tailored to your preferences.
  • 02To communicate with you via email, WhatsApp, or phone as required to plan and confirm your trip.
  • 03To secure reservations and arrange VIP amenities and perks at partner properties on your behalf.
  • 04To pass relevant lead and contact information to our CRM system (GoHighLevel / LeadConnector) so that we can track, follow up, and manage enquiries efficiently.
  • 05To send follow-up email or WhatsApp messages if you submitted an enquiry but did not complete the booking process.
  • 06To measure the effectiveness of our advertising campaigns on platforms such as Meta (Instagram & Facebook), allowing us to optimise how and to whom we show ads.
  • 07To comply with our legal obligations, resolve disputes, and enforce our agreements.
4. CRM & Communication Systems

To manage leads and client relationships professionally, your contact and enquiry data may be processed by the following third-party systems:

GoHighLevel / LeadConnector (CRM)

When you submit an enquiry through our website or landing pages, your data (name, email, phone, destination, budget, dates, and message) is automatically forwarded to our CRM platform. This allows us to manage follow-ups, assign tasks, and ensure no enquiry goes unanswered. Data is held in accordance with GoHighLevel's privacy policy.

Email marketing

If you have submitted an enquiry, we may follow up with relevant travel content, destination inspiration, or exclusive offers via email. You can opt out of marketing emails at any time by replying to any email with the word "Unsubscribe" or by contacting us directly at concierge@privata.travel.

WhatsApp outreach

With your implicit consent (provided by sharing your phone number in an enquiry form), we may contact you via WhatsApp to discuss your travel plans, share options, or follow up on your request. You can ask us to stop WhatsApp communications at any time by replying "Stop" or contacting concierge@privata.travel.

Fora Travel (booking platform)

To process your reservation, relevant booking details (name, travel dates, room preferences) are shared with Fora Travel and, where necessary, with the relevant hotel or travel supplier. Fora Travel handles all payment processing; we have no access to your payment data.

5. Social Media & Advertising

We run paid advertising campaigns on platforms including Meta (Instagram and Facebook). To measure and optimise these campaigns, we use the Meta Pixel — a small piece of code installed on our website and landing pages. This tool allows Meta to match visitors to our site with its user base for ad measurement, attribution, and retargeting purposes.

The Meta Pixel may collect your IP address, browser type, the pages you visited, and actions you took (such as submitting a form). This data is processed by Meta under their own privacy policy. When you submit an enquiry through a landing page originating from one of our ads, a "Lead" conversion event is also sent to Meta to measure the ad's effectiveness.

We do not sell your data to third parties for their own marketing purposes. You may opt out of Meta's personalised advertising at any time via your Meta ad preferences.

Essential cookies

Required for the website to function. These cannot be disabled.

Analytics cookies

Help us understand how visitors interact with our site — pages viewed, time spent, and how they arrived. We use this data to improve the website and user experience.

Advertising & retargeting cookies

Used to measure ad performance and to show relevant ads to users who have previously visited our site. This includes the Meta Pixel described in Section 5.

7. How Long We Keep Your Data

We retain your personal information for as long as is necessary to fulfil the purpose for which it was collected, including to manage ongoing travel relationships, comply with legal obligations, and resolve any disputes. Enquiry data is typically retained for up to 3 years from the date of last contact. You may request deletion of your data at any time (see Section 8).

8. Your Rights

Depending on your location, you may have the following rights in relation to your personal data:

  • Access: Request a copy of the personal data we hold about you.
  • Rectification: Ask us to correct inaccurate or incomplete data.
  • Erasure: Request that we delete your personal data where there is no legitimate reason for us to continue holding it.
  • Restriction: Ask us to restrict how we process your data in certain circumstances.
  • Objection: Object to our processing of your data for direct marketing purposes.
  • Portability: Request that we transfer your data to another service provider in a structured, machine-readable format.
  • Withdraw consent: Where processing is based on your consent, you may withdraw it at any time without affecting the lawfulness of prior processing.

We may update this Privacy Policy from time to time to reflect changes in our practices, services, or legal requirements. When we do, we will update the "Last updated" date at the top of this page. We encourage you to review this policy periodically. Continued use of our website or services after any changes constitutes acceptance of the updated policy.
